Moving in, moving out and changes of ownership
Use People > Members to manage who is linked to a unit. Keep the unit itself as the continuing property record so its documents and financial history remain connected.
Residents should ask the committee to make membership changes. The following steps are for a person authorised to manage members.
Add someone moving in
- Confirm the unit and whether the person is an owner/leaseholder or a tenant/renter.
- Check whether they already have a membership or a pending invitation.
- Invite them against the correct unit using their own email address.
- Ask them to accept the newest invitation with that email address.
- Check the resulting member and unit link.
Choose Owner / leaseholder for the person holding the property interest or long lease. Choose Tenant / renter for an occupational tenant. A tenant moving into an owner's flat does not replace that owner's property relationship.
Move an existing member to another unit
Use Move Member when the same person's property link is moving within the association.
- Select the member on the source unit.
- Choose Move Member.
- Check the source shown and select the destination unit.
- Confirm Move Member, then check the resulting unit membership.
A move changes the property link. It is not the way to transfer ownership to a different person or change a committee office.
End a property link
- Confirm which unit relationship is ending, especially if the person is linked to several units.
- If it is their final unit link and they hold a committee role, arrange the handover and remove that role first.
- Open Remove Member for the relevant member and unit.
- Review the confirmation and the separate account anonymisation/deletion option.
- Confirm the removal, then check the remaining memberships and People > History.
Removing a unit link does not necessarily end all access when another active unit link remains. Ordinary removal preserves the platform account. The additional anonymisation/deletion option affects the person's login and is not a routine move-out step; use it only for an authorised account-removal decision. The app blocks it while another unit link remains.
Record a change of ownership
End the outgoing owner's relevant link and invite the incoming owner to the existing unit. Keep the unit's documents and property account history. Ask the Treasurer to review any outstanding charges or credits rather than editing historical amounts to make the ownership change look complete.
If a sale pack was used, record its handover as well. Company membership or shareholding records, where applicable, need their own review in Profile > Company.
