Planning and recording major works

Open Building > Major Works for a larger project that needs estimates, affected units, consultation information and a decision record. Use ordinary Works for an everyday repair that does not need this wider project record.

Create the project record

  1. Check for an existing project before creating a new record.
  2. Complete Project Summary with a clear title, description, category, location and priority.
  3. In Responsibility and Units, assign responsibility and check whether all units or selected units are affected.
  4. Enter the Initial Estimate and review the per-affected-unit estimate.
  5. Add the supporting documents and save the record.

If only selected units are affected, check the selection before relying on the estimate. An initial estimate supports planning; it is not an issued property charge or evidence that money has been spent.

Record consultation progress

The consultation section varies with the association's recorded country. You may see Section 20 and Consultation or Owner Consultation.

Record the route offered by the form, the Stage and any Observation deadline that applies. When the record is marked as not requiring statutory consultation, stage tracking is hidden. Do not choose that setting simply to remove fields.

The form records the process you are following. It does not determine which consultation duties apply or establish that a process has been completed correctly. Confirm the applicable process with the association's adviser where needed.

Keep the evidence together

Add dated notices, observations, reports and estimates. Record nominated contractors and quotes in the relevant parts of the project. Link meetings, discussions or polls where they explain how the decision was reached.

Keep previous estimates and unsuccessful quotes when they explain the options considered. Give documents names that distinguish their date and purpose.

Record the decision and follow-up

Update the stage and decision fields as the project progresses. Record the outcome and reason, attach the supporting decision or minutes, and identify the next responsible person and action. Review the project status when the work is complete.

Manage actual bills, payment requests and bank matching through the finance workflows. Changing a project's estimate or status does not replace those records.

If a field or action is unavailable

Check your permission to manage building records and whether the selected consultation route hides stage fields. For an unexpected estimate, check the affected-unit scope and selection first.
