Maintaining company records and reminders
Use Profile > Company, where available for your association, to review Companies House information and maintain the association's own company records. Viewing and managing records require the relevant permissions; adding linked members also requires People access.
Connect and refresh Companies House information
- Check the company number against the company you intend to manage.
- Enter or review it in the company settings and save the change.
- Choose Sync.
- Review the company name, Sync Status and Last Sync.
- Check the synced profile, officers, people with significant control (PSCs) and recent filings.
Synced fields are read-only in Our Stairwell. Changes to those official records must be made through the appropriate Companies House process, then refreshed here. Saving a local reminder or resolution does not submit a filing.
If Last sync failed appears, check the company number and retry Sync. If it continues to fail, tell support the error wording and last successful sync time. Do not treat a failed refresh as confirmation that no information has changed.
Maintain reminders
Review the local settings for accounts and confirmation-statement reminder overrides, identity verification, AGM target and warning window. Save changes and check the resulting dates.
A reminder override changes the app's reminder information; it does not change a statutory deadline at Companies House. Confirm actual obligations separately when planning filings or meetings.
Add a member or shareholder record
- Open Members and Shareholders.
- Select the existing person and unit connection.
- Check the membership class and voting-rights or shareholding choice.
- Enter the start date and choose Add.
- Review the new register entry.
If the person is unavailable, check their People and unit records and your permission to view them. A property relationship, a committee role and company membership describe different things; review each separately when someone joins or leaves.
Use End membership with the appropriate end date for a membership that has finished. Delete erroneous membership entry is for correcting an erroneous entry, not recording an ordinary departure.
Record a resolution
Add a clear title, type, date where provided and outcome in the resolutions section. Record whether it has been filed with Companies House only when that reflects what actually happened.
Keep the supporting decision and meeting record available. A resolution entered here records the association's context; it does not itself make a filing or validate the decision-making process.
Review during a handover
Check the last sync, upcoming dates, local overrides, ended memberships and recent resolutions. Make sure the incoming officer knows which actions are still outstanding and who will complete them.
